A WhatsApp clock-in is only valid if there's a time and attendance system behind it, not an ordinary group between the boss and the team.

|---|---|---|
| Legal validity in Spain | Can be edited or deleted, not accepted by the Spanish labour inspectorate | Record with a server timestamp, valid for the Spanish labour inspectorate |

| Search and export | Search message by message | Dashboard with history, filters and export to Excel |

1. Write or send a voice note to clock in
Clocking in with WhatsApp is as simple as sending a message: the employee opens WhatsApp and sends a message such as ‘Clock in’ to the TramitApp Clock-ins number. They can also do it by sending a voice note, ideal when their hands are full, they're on site or on the road, and a key accessibility option for people with visual impairments.
- Nothing to install, no accounts to create, no prior training
- Works on any smartphone with WhatsApp
- Also available via Telegram
2. Get confirmation
TramitApp confirms the clock-in with the exact time in the same WhatsApp chat. The record reaches the HR dashboard instantly, ready to check, export or audit.
- Clock-ins are processed automatically, alongside every other method
- No need to import data or run two systems side by side
- Export to Excel in one click

A single view of every clock-in
With TramitApp's WhatsApp clocking in, the dashboard shows in real time who has clocked in, at what time and, if geolocation is switched on, from where. You can filter by team, shift or site.
- Clock-ins from WhatsApp on the same dashboard as app, web and QR
- Segmented by site, team or project
- Ideal for companies with distributed teams
The teams that clock in best on WhatsApp
It fits wherever work doesn't happen at a desk: workforces that change location every day, seasonal staff or people less used to apps, and teams without a computer or company email.
Construction
Workers who move from site to site and never set foot in the office. They clock in on arrival —with the site location if it's switched on— without installing or setting up anything.
Cleaning
A workforce spread across dozens of sites, often without a company email or phone. Each person clocks in by sending a message.
Hospitality
Split shifts and extra staff coming and going every season. New staff know how to clock in from day one: they already know how to use WhatsApp.
Home care and on-the-road services
Care workers and engineers who go from one home to the next. They record the start and end of each visit from their phone, without going back to base.
Transport and delivery
Drivers and delivery staff who start the day on the road and don't pass through a fixed base. They clock in from their phone when they set off and when they finish, without depending on a terminal.
Agriculture and field work
Seasonal crews and harvest workers, with less tech-savvy profiles or different languages —as long as there's mobile coverage on the farm, since WhatsApp needs data.
Is it legal in Spain to clock in on WhatsApp?
Yes, but with one important condition: WhatsApp on its own isn't a time and attendance system.
For the clock-in to be legal in Spain, it has to be linked to a platform that complies with the Spanish rules in force (SpanishRoyal Decree-Law 8/2019) and guarantees something essential: real traceability, intact data and immediate access in the event of an inspection.
It's no small matter: under Spanish law, not keeping valid working time records is a serious offence, with fines from €751 to €7,500 per company. Sending a message to an ordinary group won't do, because it can be tampered with and doesn't leave a valid record.
What makes a clock-in valid isn't the channel, it's the system behind it. TramitApp picks up that clock-in and records it on its platform ( ISO 27001-certified), with the exact time, optional location and every legal requirement under Spanish law, including keeping records for 4 years.
WhatsApp clocking in FAQs
How do staff clock in on WhatsApp with TramitApp?
The employee sends a message to the configured clocking-in number (in, out, break) and TramitApp records the working day on the central dashboard, with a server timestamp. Useful for people who don't open the app every day (sales reps on the road, building sites, less tech-savvy teams): if they can send a WhatsApp, they can clock in.
Does WhatsApp clocking in record the employee's location?
Yes, if the company switches on geolocation for this channel: the assistant asks for it in the chat if it's missing. It isn't required to clock in, and it isn't continuous tracking — only the point where you clock in is captured, just like on every other channel.
Is clocking in on WhatsApp or Telegram valid for the Spanish labour inspectorate?
Yes. Spanish Royal Decree-Law 8/2019 requires a daily record of working hours, but doesn't impose a specific channel: it asks for the record to be reliable, keep its history and be available to the Spanish labour inspectorate. TramitApp records every WhatsApp or Telegram clock-in with its server's timestamp and feeds it into the same dashboard and exportable report as every other channel.
Do I get any confirmation when I clock in on WhatsApp?
Yes. TramitApp confirms the clock-in with the exact time in the same WhatsApp chat. The record reaches the HR dashboard instantly.
Which teams benefit most from WhatsApp clocking in?
Above all, teams who don't work from a fixed desk or don't have a company email or phone: construction, cleaning, hospitality, home care, transport and delivery, or field work. If they can send a message, they already know how to clock in. Time and attendance for all your teams is managed from the same dashboard, even without an office.
Can I try TramitApp's WhatsApp clocking in before signing up?
Yes. Book a free, personalised demo and a specialist will show you the dashboard with your own case (office, building site, on the road or shifts). No commitment, no automatic sign-up and no card. You only sign up once you're sure it's right for your company.
